I had the idea of starting my very own podcast for a few years before I launched it, and I didn’t know where to even start because it felt like there were so many things to get done before launching it, and that overwhelmed me. Since launching the podcast last year, I have found that I love and enjoy podcasting as a marketing method, especially as an introvert. If you are still sitting on the idea of starting your podcast like I was a few years ago and it overwhelms you, then these tips are just what you need to help you take action on your podcast right now.
Our guest on the podcast today is Podcast Manager, Rosa Sarmento. She is the founder of Ideablossoms – a boutique podcast agency that has assisted disruptive coaches and mentors release over 200 podcast episodes! She empowers mission-driven women who run their own online businesses to become trusted leaders by launching their dream podcasts.

Rosa went to college for fashion design in Brazil, where she is from. She worked as a fashion buyer for six years in Brazil before traveling. Her online entrepreneurial journey began as she moved to Chile for two years and then to Vietnam for another two years. As Rosa started traveling, she realized that working online was the only way to survive. It began as her teaching online, then eventually, she came across podcast management through a course that she had been taking online. Being creative at heart, she fell in love with podcast management because of the creativity it allowed her daily. She gets bored pretty easily from doing the same things every day, so wearing different hats in her business every day as a podcast manager is something that she really enjoys. Some of her tasks include editing audio, copywriting, and graphic design. She missed being creative while teaching online, and she hasn’t looked back for two years now.
If you are beyond overwhelmed about where to start when it comes to launching your own podcast, Rosa suggests that you get clarity first and foremost. You may have spent a lot of time going down the black hole of asking yourself what you want and where you want to go, so getting clarity around why you want to start your podcast in the first place, who you want to serve, and how you want to serve is key. She just launched a freebie to help you answer these questions for yourself called 15 Questions to Ask Yourself Before Starting a Podcast. This resource will help you get clarity on your audience, mission, values, and content topics, which will give you the motivation to move on to the next steps in getting your podcast going.
Your mindset can also be another thing that overwhelms you in the beginning. Will anyone listen to your podcast? Will they be annoyed with your voice? No one is alone because even the clients that Rosa has worked with have had thoughts and fears that hold them back from starting sooner. Sometimes it’s a fear of rejection, and other times, Rosa says that it is just a fear of making mistakes. It is all about overcoming your fears because there is no right or wrong, and there are no mistakes. Instead, they are learning opportunities that help you to grow. No one can start at episode 200 of their podcast because you have to always begin with episode one. All you can do is start because there is no way around it. Be kind to yourself and be patient with yourself. Don’t put so much pressure on yourself with podcasting because, as Rosa mentions, it should be fun. If it’s not, then you should look inward and reassess.
Many podcasts today are not repurposing their content as much as they should. For example, one episode may have a post about the episode going live with discussed topics, a link in the bio being mentioned. Then you never hear about that episode again. You still have 20 minutes, 30 minutes, or even longer of content waiting to be reused in another way, like a blog post.
The absolute first thing you should do after recording an episode is to get a transcription. From there, you can create any piece of content that you want. The transcription is also excellent because it highlights the best parts for you to organize, and then from there, you can repurpose. There are several different tools online for transcribing audio or video files. Some tools are free to some extent, so if you are doing it for your own podcast, then a free option will work just fine. However, Rosa has an agency, so she has a subscription with Otter, which I also have. Once you have the transcription, it depends on your marketing strategies for taking it from there. Each platform will need a different workflow as a newsletter is set up way differently than a social media post. The beauty of having the transcription first is that it allows other pieces of content to flow from there because you already have the ideas right in front of you.
Something that may stop people dead in their tracks from starting a podcast along with overwhelm is thinking they have to add their podcast to everything else on their already long list of things to do. That’s not the case. If you are already writing blog posts every week, newsletters, social media posts, stories, and reels, you don’t have to always come up with new content to share on those platforms. Your podcast can be the primary content source for other pieces of content to flow from.
If you start a podcast and have weekly episodes, maybe just focus on that, and then everything else from your marketing strategy can come from that episode. You can also outsource that, and you only have to focus on planning and recording episodes. Then you give it to your VA or your podcast manager for them to repurpose, and you have your marketing done for a whole week or month. It’s a little less work if you do it that way, instead of just adding the podcast to what you’re doing right now. Lastly, Rosa says to make sure the podcast works for you when creating content.
You should do a few things if you are curious about becoming a podcast manager. First things first, you should surround yourself with people in the podcast or podcast management industry. Start following people that work in the industry. Start subscribing to newsletters of those people because they will mention the tools they use for their services. You can go to their website to check out their resources. You can check their tutorials and videos to start acclimating yourself to the podcasting world before you jump all into it.
Another great thing to do is to start relationships with those people, ask them questions, and offer to help them as an intern to gain some experience. This will help you see if this is what you want to do. At the end of that experience, you can get social proof from them as a testimonial to show potential clients. From there, if you are still wanting to move forward with podcast management, then you can decide if you wish to invest in a course or hire a coach to help you get started.
Once you become a podcast manager, it’s helpful to have systems in place to make working with clients and managing your tasks a lot easier. Rosa created three different template bundles for anyone starting a podcast, managing a podcast, and wanting to monetize their podcast. It’s a great way to start, especially if you’re a podcast manager because you will already have all those templates, email copy, Canva templates, forms, and Google Drive files in an easy-to-use space. Rosa wanted to make it easy by having it set up in Google Drive files because podcasting is already overwhelming, so no fancy tools are needed.
If you’re a podcast manager looking to get started, you want to have those systems; you want to offer an excellent structure to your clients so everything is organized. Rosa recommends her templates. Again, to integrate a podcast into your marketing strategy, you have to start a good strategy. You need to think about how your podcast feeds everything else, and you also need systems in place. Otherwise, you’re going to get super overwhelmed with all the different tasks and moving pieces.
You will know when you are ready to monetize your podcast when you feel super confident, especially with the value that you are bringing to your audience. If you are getting your podcast out there and start pitching to dream sponsors, you need to be confident in what you’re doing, who you are, what your podcast is about, and who your audience is. Everything needs to be very clear, concise, and you have to be confident in all of those factors. If you are not buying it, no one else will buy it either, so that’s the number one thing.
Rosa gave so many powerful tips and insights on how she went from working in fashion design to now running her own podcast launch and management agency, the initial steps you need to take before starting a podcast, along with your mindset around that, using transcriptions to repurpose each podcast episode, letting your podcast be your main source for content, how to become a podcast manager if it interests you, and knowing when the time is right to start monetizing your podcast.
